Privacy Policy

Overview

EdTrace is a school performance data transparency platform operated by IdealixAI LLC, a Service-Disabled Veteran-Owned Small Business based in Reno, Nevada. This policy explains how we collect, use, and protect data when you visit edtrace.app or any EdTrace-powered portal.

Data controller and data processor

EdTrace operates as a multi-tenant platform. Each portal you visit is operated by a participating education agency (the “tenant”) — such as a state charter school authorizer or school district. That agency is the data controller for the school performance data published on their portal. IdealixAI LLC acts as the data processor, providing the platform infrastructure on the agency's behalf.

School performance data displayed on EdTrace portals is sourced from and published by the participating agency. IdealixAI does not independently collect, modify, or sell that data.

What we collect from visitors

When you visit edtrace.app or an EdTrace-powered portal, we collect the following data only if you accept analytics cookies:

  • Pages visited and navigation paths
  • Search queries entered on the portal
  • School comparison and filter actions
  • Browser type, device type, and approximate geographic region (country/state level)

We collect this data via Google Analytics 4. We do not collect your name, email address, or any other personally identifiable information from portal visitors. We do not use tracking pixels, fingerprinting, or cross-site tracking.

If you decline analytics cookies using the consent banner, none of the above data is collected. Your ability to use the portal is not affected by declining.

FERPA

EdTrace portals display school performance data that participating agencies are authorized to publish publicly under the Family Educational Rights and Privacy Act (FERPA) and applicable state law. This data is aggregate and does not identify individual students.

IdealixAI does not receive, store, or process any individually identifiable student education records. Any questions about the underlying student data or its public disclosure should be directed to the participating agency that operates the portal you're viewing.

Children's privacy

EdTrace portals are public-facing informational websites. We do not knowingly collect personal information from children under the age of 13. If you believe a child under 13 has submitted personal information through this site, contact us at privacy@idealixai.com and we will delete it promptly.

Cookies and analytics

We use Google Analytics 4, which sets first-party analytics cookies to measure how visitors use the site. These cookies do not track you across other websites.

Cookie categories we use:

  • Strictly necessary: Required for the site to function. Cannot be declined.
  • Analytics: Google Analytics 4 usage tracking. Requires your consent. Loaded only after you accept the cookie consent banner.

You can withdraw consent at any time by clearing your browser cookies and declining on your next visit.

Data retention

Google Analytics retains user-level data for 14 months and event-level data for 2 months, per Google's default configuration. IdealixAI does not maintain a separate analytics database.

School performance data published on EdTrace portals is retained and managed by the participating agency. Contact the agency directly for questions about retention of published school data.

Your rights

Depending on where you're located, you may have the following rights regarding your personal data:

  • Access: Request a copy of the data we hold about you.
  • Deletion: Request deletion of your data.
  • Opt-out: Decline analytics cookies at any time using the consent banner.

Because EdTrace does not collect personally identifiable information from visitors who decline cookies, most visitors have no personal data on record with IdealixAI. To submit a request, contact privacy@idealixai.com.

California residents: Under the California Consumer Privacy Act (CCPA), you have the right to know what personal data we collect, request deletion, and opt out of the sale of personal data. We do not sell personal data.
